Automation

Stop paying people to do work your business can automate.

BizPromptly helps businesses identify the processes their team repeats every week, connect the systems involved and automate the workflows around them, so people respond faster, work more consistently and spend far less time on administration.

Sound familiar?

How much of your team’s week goes on the same tasks, again and again?

In most growing businesses, a surprising share of the working week is spent moving information around by hand. Someone reads an email and types its contents somewhere else. Someone checks whether a customer has replied. Someone rebuilds the same report they built last month. None of it is difficult, and none of it is the work the business is actually paid for.

It usually looks like this:

  • Copying enquiries from an inbox into a spreadsheet or CRM
  • Answering the same handful of customer questions again and again
  • Chasing customers for responses, documents or payment
  • Reminding staff to complete or update a task
  • Re-keying the same information between two systems that do not talk
  • Manually assigning new work or new leads to the right person
  • Keeping customer records current by hand
  • Rebuilding the same report every week or month
  • Following up quotations that never got a yes or a no
  • Sending appointment and booking reminders one at a time
  • Walking a new customer or a new employee through onboarding by email
  • Checking whether someone has replied yet, and nudging them if not

If you read that list and recognised your own week, the cost is not one afternoon. It is the same hours, lost again, every week.

Our approach

Automation should start with the process, not the software

We do not begin by picking a tool and working backwards from it.

A lot of automation projects go wrong because they start with a platform and then look for things to do with it. We work the other way around. Before recommending anything, we build a clear picture of how the business actually runs and where automation would earn its place.

That means understanding:

  • What repeatedly happens inside the business, and how often
  • What your employees actually spend their time doing
  • Where customers end up waiting
  • Where information gets lost or has to be re-entered
  • Where mistakes tend to happen, and what they cost
  • What currently depends on somebody remembering
  • Which systems you already have, and how well they are used
  • Where human judgement is genuinely required
  • Where automation would create real commercial value, and where it would not

Only then do we design the workflow, choose the tools to deliver it and decide how much of it BizPromptly should build.

What we automate

Where automation usually pays off

These are the areas we are most often asked to work on. In each case the point is the business result, not the mechanism behind it.

Leads and sales

Every enquiry is captured, acknowledged and put in front of the right person within minutes, so fewer opportunities go cold while someone is busy.

Enquiry capture, lead assignment, instant acknowledgements, follow-up reminders and sequences, pipeline progression, sales notifications, flagging leads that have gone quiet, activity logging.

Customer service

Customers are kept informed and routed to the right place automatically, which reduces inbound chasing and makes the experience feel more organised.

Enquiry routing, status updates, appointment reminders, ticket routing, answers to common questions, post-job follow-up, feedback and review requests.

Operations

Work moves through the business on defined rules rather than reminders, so handoffs happen on time and managers can see where things stand.

Task creation, approvals, internal notifications, recurring workflows, work assignment, process handoffs, document collection, operational reminders, escalation when something stalls.

People and HR

Joiner, mover and leaver processes run to a checklist automatically, so nothing important is missed and managers spend less time coordinating.

Employee onboarding workflows, document requests, reminders, leave notifications, task assignment, training and process prompts, staff lifecycle steps.

Reporting and management

The numbers leadership needs arrive on schedule without anyone assembling them by hand, so decisions are based on current information.

Scheduled reports, KPI summaries, operational alerts, management notifications, consolidating data from several systems, regular business updates.

Administration

Routine paperwork and data entry are handled by the workflow, which frees up time and reduces the small errors that come from repetitive typing.

Form processing, information capture, document generation where appropriate, scheduling, reminders, reduced manual data entry, system-to-system updates.

The difference

The same enquiry, handled two ways

A simplified example rather than a promise that every workflow looks exactly like this. The shape of the improvement is usually the same: fewer manual steps, less waiting, nothing left to memory.

Before automation

  1. 1A customer completes a form on your website.
  2. 2The email sits in an inbox until someone notices it.
  3. 3The details are copied into a spreadsheet or CRM by hand.
  4. 4Someone messages a colleague to say a new enquiry has come in.
  5. 5The lead waits while everyone assumes someone else has it.
  6. 6A staff member eventually remembers to follow up.
  7. 7The spreadsheet is updated manually, if there is time.
  8. 8A manager asks for a status update to find out where things are.

After automation

  1. The enquiry is captured the moment the form is submitted.
  2. A customer record is created or updated automatically.
  3. The right person is notified straight away.
  4. A follow-up task is created and dated.
  5. The customer receives an immediate acknowledgement.
  6. The relevant workflow starts without anyone triggering it.
  7. Management can see the status at any point without asking.

How we work

Strategy and implementation, in four stages

We are not only here to tell you what to automate. Where it is agreed, we build it.

01

Discover

We map the repetitive work, the customer journeys, the systems already in place and the points where processes slow down or break.

02

Design

We decide which processes should be automated and which should stay with a person, then design workflows around that rather than around a tool.

03

Implement

We build and connect the workflows, notifications, integrations and automations, test them against real cases and hand them over with your team trained.

04

Optimise

We monitor what is running, refine the workflows that need it and identify the next processes worth automating.

The economics

What is manual work actually costing your business?

It is worth doing the arithmetic. If one person spends a few hours every week copying information, chasing responses, updating systems, preparing the same reports and allocating work by hand, that is not a one-off cost. It repeats every week, for as long as the process stays manual, and it grows as the business grows.

Automating part of that work does not just save the time. It usually means the next increase in volume does not require the next hire, leads are answered while they are still warm, and the process runs the same way every time. The themes we see most often are:

Hours returned to employees each week
Faster response to new leads
Fewer missed sales opportunities
Less repetitive administration
More consistent processes
Fewer errors from manual re-keying
More capacity without immediately hiring
Operations that are easier to scale

If it helps to put rough numbers against your own situation, the ROI calculator is a quick way to start. We will go through the detail properly in a conversation.

People and automation

The best automation does not remove people from the business. It removes unnecessary work from their day.

This matters, so it is worth being clear about it. We are not trying to hand your business over to software. Judgement, relationships, difficult decisions, reading a customer correctly and leading a team are done by people, and they stay with people.

What automation should take on is the predictable, repetitive, rules-based work that currently fills the gaps between the parts that matter. Done well, it gives your team more room to do the work only they can do, and it makes the business less dependent on any one person remembering the routine.

Your existing systems

You may not need to replace what you already have

Before anyone talks about new software, we look at the tools you already use and work out how far they can be taken. In a lot of cases the answer is a long way. Existing systems can often be:

  • Configured properly so they do what you are paying for
  • Connected so information moves between them automatically
  • Automated so routine steps happen without a person
  • Consolidated where you are paying for overlapping tools
  • Supplemented with something new only where there is a real gap

Where there is a genuine gap, we will recommend something to fill it and explain the reasoning. The starting point is always getting more out of what you have.

Fit

Who this is for

A strong fit if this describes your business

  • Employees spend meaningful time on repetitive administration.
  • Leads are managed by hand and sometimes slip.
  • Processes depend on someone remembering the next step.
  • The same information is copied between systems.
  • Customers wait too long for a response.
  • Managers lack visibility into where work stands.
  • More workload currently means hiring more people.
  • Your systems do not communicate with each other.
  • The same process is done differently by different people.
  • Administration is starting to limit growth.

Probably not the right time if

  • There is no repeatable process yet to build on.
  • The business has very little activity to automate.
  • You just want the cheapest automation tool and nothing else.
  • The work genuinely needs human judgement at every step.

If that is where you are, an early conversation can still be useful. It is often worth getting the process right first and automating it later.

Not sure what you should automate?

You do not need to know which software or which automation you need. Tell us where the business is losing time, where processes break down and what your team keeps doing by hand. We will help identify the opportunities.

Questions

Common questions

What is business automation?

Business automation means using software and workflows to carry out repetitive, rules-based steps that a person would otherwise do by hand: capturing an enquiry, updating a record, sending a reminder, creating a task, moving information between systems. The aim is to remove predictable work from people's days so they can focus on the parts that need judgement.

What types of processes can BizPromptly automate?

Most often it is lead capture and follow-up, customer notifications and reminders, task creation and approvals, onboarding for customers and employees, reporting, and moving data between systems that do not currently connect. As a rule of thumb, if your team repeats the same process regularly, part of it can usually be automated.

Do I need to replace my existing software?

Usually not. In most cases the tools are fine and the problem is how they have been set up and connected. We would rather get more value from what you already have. If something genuinely is not fit for purpose we will tell you and explain why, but replacing systems is a last resort, not a starting point.

Can you integrate with systems we already use?

Yes. Connecting existing systems so information flows between them automatically is one of the most common parts of the work. We assess what you have, how each tool exposes its data, and build the integrations and workflows around that.

Do you use AI?

Where it genuinely helps. Some steps, such as drafting a response, summarising a thread or classifying an enquiry, are a good fit for AI. Many are better handled by straightforward rules. We use AI as one option among several, not as the point of the project.

Will automation replace our staff?

That is not the aim. Good automation removes unnecessary work from people's days, not the people. Relationships, complex decisions, customer empathy and leadership still sit with your team. Automation handles the predictable, repetitive work so there is more time for the rest.

How much does business automation cost?

The Automation Opportunity Audit starts from £295. Implementation through a Business Automation Sprint starts from £1,500. Ongoing support as an Automation and Systems Partner starts from £750 per month. Where you land depends on the number of workflows, the systems involved and the complexity of the business.

What happens during an Automation Opportunity Audit?

We run a discovery session to understand how the business works, review your processes and the systems you use, and identify where time is being lost to manual work. You receive a prioritised map of automation opportunities, the quick wins worth doing first, and a recommended roadmap you can act on with or without us.

Can you implement the automation for us?

Yes. The Business Automation Sprint is an implementation service. We design the workflows, build and connect them, test them against real cases and hand them over with your team trained. You are not left with a document to act on yourself unless that is what you want.

How long does an automation project take?

An audit is typically a short, focused piece of work. A Sprint depends on scope: a single well-defined workflow is quick, while several connected workflows across multiple systems take longer. We agree the scope and a realistic timeline before starting.

Can you provide ongoing support?

Yes. The Automation and Systems Partner engagement is built for that: monitoring what is running, improving workflows, adding new ones as the business changes and reviewing for further opportunities, without you needing to hire for it.

Do we have to use ISCANET?

No. We choose the approach that fits the business and can work with the systems you already have. ISCANET is one option we may use as part of the infrastructure behind a solution where it is a sensible fit, but it is never a requirement and it is not what this service is about.

Your team shouldn’t spend tomorrow repeating what could be automated today.

Tell us about the manual processes and bottlenecks currently taking up your team’s time. We will look at where automation would make a real difference and what it would take to put it in place.
